Privacy Policy
This Privacy Policy explains how 219 Digital LLC ("219 Digital", "we", "us" or "our") collects, uses and shares information in connection with Pop's Landlord Accounting, including the web application that connects to QuickBooks Online and this website at popslandlordaccounting.com (together, the "Service").
1. Information we collect
Information from Intuit when you sign in
You sign in to the Service with your Intuit account. We do not receive or store your Intuit password. When you connect, Intuit gives us:
- your name, email address and Intuit user identifier;
- the identifier of the QuickBooks Online company you choose to connect; and
- access and refresh tokens that let the Service act on that company for you.
QuickBooks Online data
To provide the Service, we read data from the QuickBooks Online company you connect, and we create and update records in it. This includes company information, the chart of accounts, customers, vendors, classes, items, invoices, bills and transfers. We also receive notifications from Intuit when certain records in your company change.
Information you enter
- Properties: addresses, unit details, rents, deposits, and the mortgage, insurance, tax and other expense figures you provide.
- Tenants and managers: the names and email addresses of your tenants, move-in and move-out dates, and the name and email address of your property manager.
- Files: photos and documents you upload to a property's history.
- Settings: your choices about accounts, fees, reserves and invoice delivery.
Information collected automatically
When you use the Service, our servers and hosting providers record standard technical information such as IP address, browser type, the pages or endpoints requested, and the date and time of each request. We also keep records of the entries the Service makes in QuickBooks Online and of any errors, so that we can show you what happened and fix problems.
Information you send us
If you email us, we keep the message and your email address so we can reply.
2. How we use information
We use the information described above to:
- provide the Service, including recording invoices, bills and transfers in your QuickBooks Online company and producing your reports;
- ask QuickBooks Online to email invoices to the tenant or property manager you have chosen;
- keep the Service secure, and prevent misuse;
- diagnose problems and improve the Service;
- communicate with you about the Service, including support and important notices; and
- comply with the law and enforce our End User License Agreement.
We do not sell your personal information. We do not use your QuickBooks Online data, or information about your tenants, for advertising.
3. How we share information
We share information only as follows:
- With Intuit. The Service sends data to, and receives data from, your QuickBooks Online company. Intuit's handling of that data is governed by Intuit's own privacy statement.
- With service providers. We use other companies to run the Service on our behalf: an application hosting provider, a database provider, and a file storage provider. They process information only to provide their services to us.
- With Google, for address lookup. When you type an address into the property form, the text you type is sent to Google's Places service to suggest and complete addresses.
- For legal reasons. We may disclose information if we believe in good faith that the law requires it, or to protect the rights, property or safety of 219 Digital, our customers or others.
- In a business transfer. If 219 Digital is involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction, subject to this Privacy Policy.
- With your direction. We share information in other ways when you ask us to.
4. Information about your tenants
You decide what information about your tenants and property managers to put into the Service, and we process it on your behalf. If you are a tenant or manager and have a question about information a landlord has entered about you, please contact that landlord first. You can also write to us at contact@popslandlordaccounting.com and we will work with the landlord to respond.
5. Cookies
The application uses a single encrypted session cookie to keep you signed in. It is required for the Service to work. We do not use advertising cookies or cross-site tracking cookies, on the application or on this website.
6. Security
We take reasonable measures to protect information, including:
- encrypting connections to the Service in transit;
- encrypting QuickBooks Online access and refresh tokens before they are stored;
- keeping uploaded files in private storage, reachable only through short-lived links issued to the signed-in owner; and
- limiting each account's access to its own data.
No system is perfectly secure, and we cannot guarantee the security of information.
7. Retention and deletion
When you disconnect your QuickBooks Online company, we revoke and delete the tokens that gave the Service access to it. We keep the other information associated with your account, such as your properties, tenants and uploaded files, so that it is there if you reconnect.
You can ask us to delete your account and the information associated with it at any time by writing to contact@popslandlordaccounting.com from the email address on your account. We will delete it within 30 days, except for information we are required by law to keep, and copies in backups, which expire on their normal schedule.
Deleting information from the Service does not delete the records the Service created in your QuickBooks Online company. Those belong to you and remain in QuickBooks Online under your control.
8. Your choices and rights
You can review and change most of your information within the Service. Depending on where you live, you may also have the right to ask us for a copy of your personal information, to correct it, to delete it, or to object to or restrict certain uses of it. To make a request, write to contact@popslandlordaccounting.com. We will not treat you differently for exercising these rights. We may need to verify your identity before acting on a request.
9. Children
The Service is intended for adults managing rental property. It is not directed to children, and we do not knowingly collect personal information from anyone under 18.
10. Where information is processed
219 Digital is based in the United States, and information is processed and stored in the United States. If you use the Service from another country, you understand that your information will be transferred to the United States, where privacy laws may differ from those where you live.
11. Changes to this policy
We may update this Privacy Policy from time to time. If we make a material change, we will post the new version here with a new effective date and, where appropriate, notify you in the Service or by email.
